This Privacy Policy applies to the PLUS1MD service and explains how we handle, use and protect Personal Information collected in connection with our service in Australia. By using or accessing our services, you agree to the practices described here and to our Terms of Service.

About the PLUS1MD service

Healthcare practitioners use PLUS1MD to reduce the administrative burden that follows each consultation. Our scribe function transcribes the full consultation and produces a structured summary that can be inserted into your records or practice management system within minutes of the visit concluding.

Information collection and use

a) How we handle practitioners' Personal Information

“Personal Information” (called "personal information" under the Privacy Act 1988 (Cth)) means information or an opinion about an identified person or a person who is reasonably identifiable. We collect details such as your name, contact information, and clinic information, as well as information you provide through surveys or when you contact us, and technical usage data from our website and platform.

We use this information to: (i) communicate with you and answer queries; (ii) provide, administer and operate the PLUS1MD service (including creating and managing your account); (iii) run internal operations such as analytics, testing and research; (iv) meet legal and regulatory obligations; and (v) process payments through PCI‑DSS certified payment providers. We may use de‑identified, aggregated data to understand and improve how our website and services are used.

If you delete your account or your account is dormant for 24 months, we will delete Personal Information associated with the account within a further 24 months, unless we need to retain it to comply with law, resolve disputes, prevent fraud, or enforce our agreements.

b) How we handle your clients' Personal Information

When recording is active, the scribe captures the full consultation. Audio is transcribed in near real time. After transcription completes, the audio is deleted. Processing and storage occur on Microsoft Azure data centres located in Australia (for example, Azure Australia East/SE). Unless you save notes within PLUS1MD, they are automatically deleted. If you choose to save notes, they are encrypted and stored in-region data storage.

c) Your responsibility to your clients

Once notes are exported to your systems or devices, you are responsible for their security and for complying with the Privacy Act 1988 (Cth) and any relevant Australian State or Territory health privacy legislation governing your practice.

d) Website and platform analytics

We collect information about how people use our website and tools (for example, IP address, device attributes and features accessed). We use cookies and similar technologies to improve user experience and product quality.

Disclosure of personal information

We do not sell Personal Information. We disclose Personal Information only as described in this Policy, including: (i) where required by law or to protect the rights, property or safety of PLUS1MD, users or others; (ii) with your consent; (iii) to support personnel and service providers who need access to help deliver the service and who are bound by confidentiality and appropriate data protection obligations.

Data security

We implement administrative, physical and technical safeguards designed to protect Personal Information. Data is encrypted in transit and at rest. Access to systems is controlled and audited. Our personnel and vendors are subject to confidentiality obligations. Information is processed and stored on Microsoft Azure regions located in Australia. While we work hard to protect information, no method of transmission or storage is completely secure.

Cookies and websites

Cookies and similar technologies help us operate the site and understand usage. Most browsers accept cookies by default, but you can usually change your settings to refuse or delete cookies—this may impact some site features. Our website may link to third‑party sites, which have their own privacy policies. We are not responsible for the privacy practices of third‑party sites.

Status of this policy

By signing up for the PLUS1MD service or participating in our surveys, you accept this Privacy Policy as updated from time to time. As technologies and practices evolve, we may revise this Policy. The most current version will be available on our website, or you can request a copy from our Privacy Officer.

Accessing, updating and removing personal information
